    Terms of Employment: 

    • Permanent, full-time position (8:30 a.m. to 4:30 p.m. or 9:00 a.m. to 5:00 p.m.), Monday to Friday; 
    • Start date: As soon as possible; 
    • Located in Old Montreal, next to Place d’Armes metro station. 

     

    Salary and Benefits: 

    • Starting salary of $45,000 per year, indexed annually on January 1st according to the CPI, with the possibility of a bonus; 
    • Three weeks of vacation per year, and the office is closed (and paid) during the holiday season; 
    • Group insurance (life, prescription drugs, dental, healthcare, and telemedicine), partially covered by the employer. 

     

    Key Responsibilities: 

    • Answer client calls, direct them to the appropriate person, or relay relevant information;
    • Greet clients in person;
    • Manage email inboxes;
    • Handle mail: opening, sorting, scanning, and distributing;
    • Manage deliveries, track shipments, make calls and coordinate with couriers;
    • Receive service of legal documents;
    • Carry out notifications, send correspondence, documents, and legal proceedings via bailiff;
    • Book meeting rooms;
    • Scan and print paper or digital documents;
    • Assemble procedure books, exhibits, legal authorities, either in paper or digital format;
    • File paper or digital documents and records;
    • Enter data upon request;
    • Update the website (including drafting content) and the Class Action Registry;
    • Manage social media platforms;
    • Provide clerical support to lawyers and the executive assistant;
    • Perform any other related tasks assigned by the supervisor.

     

    Professional Qualifications: 

    • Experience as an administrative assistant/receptionist (in a professional environment is an asset); 
    • Training in office administration or secretarial work (legal field is an asset); 
    • Good proficiency with Microsoft Office Suite (especially Outlook, SharePoint, Word, and Excel); 
    • Excellent command of French, both spoken and written; 
    • Good spoken English skills; 
    • Written English proficiency is an asset. 

     

    Required Personal Qualities: 

    • Positive attitude; 
    • Excellent customer service skills. The ideal candidate must demonstrate tact, listening skills, and professionalism, especially when interacting with individuals who may be going through difficult personal circumstances; 
    • Attention to detail and strong organizational skills; 
    • Independence and ability to work well within a team; 
    • Energy and resourcefulness; 
    • Reliability, punctuality, and discretion.
